Responsibilities Include:
The Executive Administrative Assistant is a strategic partner of the Associate Laboratory Director (ALD) for the National and Homeland Security Business and Operations staff and will lead and enable all aspects of administrative operations of the Directorate with minimal direction.
  • Provide administrative support and perform as a strategic partner to the National and Homeland Security Science & Technology (NHSS&T) Associate Laboratory Director (ALD) and Chief Operations Officer (COO).
  • Interface with senior INL management and their administrative staff, DOE-ID and DOE-HQ management.
  • Perform advanced administrative support functions with little or no direction based on in-depth knowledge of the organization, laboratory procedures and laboratory standard software applications.
  • Assist directors and department managers with writing position descriptions, candidate selection, and interview for administrative professionals within NHSS&T.
  • Act as a mentor, trainer, and guide to administrative professional junior staff; provide input on annual reviews. Help manage performance issues and provide direction and input as needed.
  • Compose and prepare routine and non-routine correspondence ensuring proper grammar and laboratory format are used.
  • Manage scheduling and calendaring for ALD. Track action items and ensure they are completed in an accurate and timely manner; delegate tasks as appropriate.
  • Provide oversight and assistance of complex assignments and projects.
  • Perform complex, time-sensitive tasks and handle laboratory-sensitive issues using own initiative to evaluate and select alternate methods of accomplishing objectives.
  • Utilize purchase card, iBuy, and Asset Suites to acquire materials and services.
  • Prepare complex agendas, security plans, and facilitate visits.
  • Help in preparation of salary/promotion packages.
  • Interface and communicate with high profile government officials, regional and international laboratory collaborators.
  • Exercise independent judgment and handle multiple tasks simultaneously.
  • Make travel arrangements; prepare and track expense reimbursements.
  • Maintain letter logs and files.
  • Assist other executives and executive professionals as needed.
  • Perform additional tasks as assigned.
Minimum Requirements:
  • Vocational Certificate plus 10 years relevant experience or 12 years relevant experience.
  • Significant, tangible, and proven experience in executive administrative support enabling support.
  • This position requires the ability to obtain and maintain a Department of Energy "Q" clearance, which requires US Citizenship.

  • Ability to take initiative and work with minimal supervision while maintaining a high level of accuracy and attention to detail.
  • Ability to protect and prioritize sensitive information and intellectual property.
  • Proficiency using Microsoft Office software: Excel, Word, and PowerPoint.
  • Proficient using Outlook email and calendaring, OneDrive, STIMS, iBuy, Asset Suites, and PCard.
Job Information
  • Salary Grade 170 ($54,192 - $86,760)
